  • Launch Pad Curator

    This position will work approximately 24 hours per week. Flexibility in days is a possibility, but ideally Tuesday, Wednesday and Thursday throughout the school year from 8:30 a.m. to 5:00 p.m.
    Working under the direction of the Learning Commons Coordinator, the position oversees the Launch Pad. The Launch Pad is an interactive MakerSpace to facilitate creativity and learning.  
    • Ignite students’ creativity, intellect and interest by providing a variety of concepts in a variety of formats to guide students through personal and group based projects
    • Utilizing the equipment, and in collaboration with the academic curriculum, ensures a fun, safe, organized and rewarding experience for all students
    • Maintenance, organization and presentation of all the equipment
    • Coordination of the system affecting student participation: appointments, projects
    • Online services (website content, calendar, database management)
    • Tracking user frequency and patterns by school
    • Research support for student investigations
    • In collaboration with the Learning Commons Coordinator, budget planning and monitoring of resources
    • Research and acquisition of additional resources for the Launch Pad
    • Collaboration with academic staff
    • Provide instruction on all of the materials to students and staff
    • Research and development for ongoing programming in support of classroom initiatives
    • Coordination of the volunteer program in the centre

  • Administrative Assistant to the Deputy Head, Teaching, Learning and Innovation

    The Administrative Assistant reports to the Deputy Head (DH), Teaching, Learning and Innovation, and provides administrative, clerical and data-related support to the Deputy Head and the broader academic leadership team.
    Duties include but are not limited to:
    • Oversee and execute the publication of the Academic Calendar from Grades 5 through 12 and ensure updates are made as appropriate (in collaboration with the Academic Team and the Communications department)
    • Work in collaboration with the Administrative Assistant, DH, Wellbeing, to ensure that the academic calendar is free from conflicts or overlaps  
    • Coordinate the annual calendar processes for academic dates at the College
    • Data entry of calendar information/details into myHSC and EMS
    • Provide clerical support and drafts of calendars and clerical support for June calendar meeting
    • Coordinate with IT(OnSIS), Payroll/HR (OTPP), VP Academic Administration (MoET), and Assistant to the Head of College (CIS) to ensure HSC compliance with calendar and appropriate number of teaching days
    • Be the liaison person with the College Board, and coordinate and organize the proctoring of all College Board examinations including AP, SAT, and pre-AP with support of the VP Academic Administration
    • Manage the creation of report card reporting schedules with support of the Principals
    On Campus Clerical Support
    • Generate and coordinate all communications related to myHSC going out to students, parents, faculty and staff related to College-wide teaching and learning
    • Periodically review course pages and assignment centre for minimum standards – Grades 5 through 12
    • Maintain the myHSC Resource Page under the direction of the DH and Director of IT Innovation
    • Liaise with communications to ensure consistency, brand and efficiency in communication flow between myHSC and the College
    HSC Academic Clerical Support
    • Support Academic Team (AT) meeting, minute takings, booking, collaborating with any external participants with any administrative and clerical needs
    • Clerical work for AT on document writing, presentations, minutes, etc.
    Professional Development Administrative Support
    • Monitor and process all faculty PD requests via the HSC HR Portal
    • Monitor and process all CAIS LI and AQ/Post Grad requests via the HSC HR Portal
    • Book all travel, accommodation, and logistical details for approved PD ensuring adherence to the policies and procedures
    • Liaise with HR on tracking of faculty PD/AQ course completion
    • Provide clerical support for HSC L2L (June and August) planning and preparations
    • Clerical support for all major conferences/initiatives hosted by HSC (e.g. PBL Canada Institute)
    • Liaise with and support HR with annual New Faculty Orientation in August
    • Provide administrative support to the Academic Team members in preparation for accreditations and all external inspections
    • Support HSC Academic Team with clerical work related to the HSC Internal Report
    • Support HSC with logistical plans related to hosting CAIS Visiting Team
    • Deputy Head of College Administrative Support
    • Manage professional calendar for DH booking appointments, etc.
    • Clerical support for DH as required for document creation, presentations, etc.
    • Track attendance and absences of direct reports to the Deputy Head
    • Ensure the College course calendar is up-to-date and accurate
    • Other related duties as assigned
    • Advanced administrative support skills (computer, reception, organization, time management, financial, communication, correspondence, etc.)
    • Previous database experience, previous experience using Blackbaud products an asset; minimum three years administrative experience required

  • Learning Commons and IT Integration Officer

    This position will provide support to the College’s Elementary and Senior Learning Commons (ELC, SLC). Reporting to the Learning Commons Coordinator (LCC), the incumbent will help to build capacity of all users through recommendations for improvements and through job embedded training on the library catalogue, virtual library, HSC archives and other student support library tools.
    Duties include:
    • Working as part of the Learning Commons team to ensure services remain responsive to the current and future needs of the user community
    • Processing and cataloguing resources
    • Working with children (projects, story time) in support of the Learning Commons program
    • Assisting in launching services in support of the College’s evolving e-learning and digital research initiatives
    • Assisting students, faculty and other members of the community with reference materials, electronic and print collection
    • Performing bibliographical searches for staff to assist with lesson planning and classroom instruction
    • Using library software systems to retrieve and enter data and generate reports and notices
    • Assisting with circulation (loans, holds, shelving, etc.)
    • Supporting the use of the collection through displays and promotion of resources

    • Providing input into the planning and creation of learning spaces in the Learning Commons
    • Modeling effective technology fluency and promoting web literacy

    • Provide minor help desk support for IT resources in the Learning Commons
    • The successful candidate will be a certified Library Technician highly skilled in computer and software applications, and knowledgeable about web searches and maintaining web pages. School librarian course considered an asset.
    • The position requires the ability to communicate clearly and effectively. The candidate must be able to establish and maintain positive working relationships with Learning Commons users and staff and to provide guidance and instructions to students and volunteers.
    • The candidate must be able to work independently and exercise initiative and good judgment in applying rules, procedures, and instructions.
